1.0 INTRODUCTION
- 1.1 This notice is to inform you of our policies in regard to all the information we collect about you.
- 1.2 This document will refer to Cube-i Ltd as ‘we’, ‘us’ and ‘are’ throughout this notice.
- 1.3 If there is one or more points in this notice you are not happy with please contact our Data Protection Officer (DPO) with your concerns (see section 9.0 for details).
- 1.4 We are committed to safeguarding the privacy of our website/application users and visitors.
- 1.5 Along with our business and internal computer systems, this website is designed to comply with following national and international legislation with regards to data protection and user privacy:
- Data Protection Act 2018
- EU Data Protection Directive 2016 (DPD)
- EU General Data Protection Regulation 2018 (GDPR)
- Australian Privacy Act 1988 (APA) This site’s compliance with the above legislation, all of which are stringent in nature, means that this site is likely compliant with the data protection and user privacy legislation set out by many other countries and territories. If you are unsure about whether this site is compliant with your own country of residences’ specific data protection and user privacy legislation you should contact our data protection officer (details of whom can be found in section 9.0) for clarification.
- 1.6 The law requires us to tell you about your rights and our obligations to you in regards to the processing and control of your personal data. We do this now, by requesting that you read the information provided at www.knowyourprivacyrights.org
- 1.7 Except as stated in this document, we do not share, or sell, or disclose any information to any 3rd party companies.
- When you sign up for the Involved app, we ask for your consent to store cookies on your device through a checkbox. Once consent has been given to store cookies on your device the application will collect information about you. The use of cookies allows the functionality of the application to work correctly and is a necessity. The Involved app has functionality that allows you to post messages and answer voting questions. The system will collate your name with this functionality unless you choose to remain anonymous. This information is only used to identify you as a contributor to the event / conference and is not passed on to any third-party data processors unless stated in this notice. In some cases, your name will be shared on other attendees of this events device and possible the presentation screen to show that these were your thoughts and comments, but your name will only appear if you have supplied it. Your question / comments and its associated personal data will remain within the app for delegates of this event, until either 1.) automatic removal of all the event data 30 days after the event has concluded 2.) removal of the event data at the organisers request. Should you wish to have the comment and its associated personal data deleted, please contact the DPO in section 9 using the name that you provided with your questions and votes.
- The involved application collects information such as:
- Questions posted
- Voting respones
- Feedback responses & comments
- By taking part in our virtual exhibition, you agree for your details, Firstname, Lastname and email to be shared with the third party exhibitors. Also data of which exhibitor content you have looked at will also be shared with the third party exhibitors. Any private messages between you and a third party exhibitor are not stored or saved anywhere within the involved platform.
- Like most websites, Cube-I uses our own site tracking throughout the site, we do not store any personal data from tracking your usage within the app, the only data we store/track will be your website usage for post event analytics.
- Cookies are small bits of information that are placed on your device by your web browser when you visit a website or application. Cookies are used to help websites and applications do various things.
- How we use cookies and why we use them is stated below:
- To track how you navigate through our website
- To keep you signed in to our event applications
- To provide functionality to our event app features
- If you choose to not use cookies or prevent our applications from using cookies we will not collect any information from you. However, our event applications rely on cookies to perform correctly so you may not be able to access these applications.
- Our event applications have features that display personal information. The personal information we are requested to use on our event applications is made by the Event organiser. We will always have consent by the Event organiser to use the personal information on our applications, who will also have a lawful basis to use this information. The information we use from third-parties is stated below.

- We use a number of third parties to process personal data on our behalf. These third parties have been carefully chosen and all of them comply with the legislation set out in Section 1.5
- Any personal data from EU nationals processed at an event outside of the EU will not be forwarded or shared with any third-party company. The data will remain within our event application and will adhere to all data protections laws when out of the EU.
- Under Article 15 of the GDPR the data subject shall have the right to obtain from a data controller whether or not personal data concerning the individual are being processed. To comply with Article 15 of the GDPR we will provide confirmation of any information we hold on an individual and can supply copies of any information, should it exist, if requested.
- Our standard personal data retention period for our website/applications is 30 days unless otherwise stated in this document. After 30 days have passed we erase/pseudo any personal data we hold of you as an identifiable individual.
- Your email address will remain within MailChimp’s database for as long as we continue to use MailChimp’s services for email marketing or until you specifically request removal from the list. You can do this by unsubscribing using the unsubscribe links contained in any email newsletters that we send you or by requesting removal via email. When requesting removal via email, please send your email to us using the email account that is subscribed to the mailing list. While your email address remains within the MailChimp database, you will receive periodic newsletter-style emails from us.
- In some circumstances, we have to store personal data for longer than our standard data retention period. The exemptions in which we would hold personal data for longer than 30 days are as follows:
- Website newsletter (must unsubscribe from our list)
- If an Event organiser requests to store the event data for a longer period.
- If we are contractually obliged to store the data from an Event organiser we are working with. (In this variant, we would be classed as a data processor on behalf of a data controller).
